About the Role
We are looking for a Permanent Visual Coordinator – Travel Retail Americas & Uruguay Border Free Shops to support the execution and coordination of permanent brand visuals across the Travel Retail Americas and Uruguay Border Free Shops point-of-sale network.
The position will work closely with the Digital & Retail Experience Director, Sales Teams, Brand Management teams, and external vendors to ensure that permanent visuals are produced, shipped, and installed in line with brand guidelines and agreed timelines.
The role will also have a strong operational and administrative component, including project tracking in Monday.com, database maintenance, and invoice processing related to permanent visual production.
Key Responsibilities
Visual Coordination & Invoice Processing
Coordinate the production, shipping, and installation of permanent visuals across Travel Retail Americas, representing approximately 85% of visual units, and Uruguay Border Free Shops, representing approximately 15%.
Support the execution of visual updates across 2,681 visual spaces in 794 doors.
Accurately track timelines, quantities, locations, and project status through Monday.com.
Process vendor invoices related to permanent visual updates for Travel Retail and Uruguay through Monday.com and Sage.
Brand & Stakeholder Collaboration
Act as a key coordination point between Essence teams across Travel Retail, Brand Management, and approved vendors.
Facilitate the timely execution of visual advertising updates at points of sale.
Provide Brand Managers with quarterly reports on reimbursable permanent visual expenses.
Consolidate visual update requirements by division — TR1 through TR6 and ESU — and by business type.
Coordinate directly with Uruguay Border Free Shop accounts and airport operators to define local installation windows.
Visual Standards & Compliance
Ensure all visuals are executed in accordance with approved brand guidelines.
Maintain and update the regional visual update calendar in Monday.com, aligned with on-counter dates.
Review each visual against the specifications registered for its corresponding fixture and visual type.
Work within a scope that includes 13 fixture types and 10 visual types.
Systems & Data Management
Maintain accurate and up-to-date visual information within the Monday.com POS Database for the TR1–TR6 and ESU divisions.
Manage information related to visual specifications, total and view dimensions, materials, recipient information, and POS photos.
Ensure every record follows the established naming convention and corresponding unit of measure.
Work comfortably with different measurement formats, including CM, MM, INCH, and PX.
Keep division, business type, axis, fixture, and brand fields current and accurate.
Vendor Partnership
Identify and assess potential local vendors across the different markets.
Help build local partnerships aimed at optimizing production costs, timelines, and quality.
Support the development of a strong regional vendor network across Travel Retail Americas and the Uruguay Border Free Shop network.
Requirements
Academic background in Marketing, Visual Merchandising, Design, or related fields.
Intermediate to advanced English.
Experience using Monday.com, including boards, POS Database, and visual update calendars.
Knowledge of or experience working with Sage.
Comfortable working with both metric and imperial visual specifications: CM, MM, INCH, and PX.
Strong ability to manage large volumes of information, timelines, vendors, and points of sale simultaneously.
Excellent organizational, follow-up, and attention-to-detail skills.
Ability to coordinate effectively with internal teams, vendors, and customers across different countries.
Experience in visual merchandising, retail, marketing, graphic production, trade marketing, or project coordination will be highly valued.
The role has a broad regional scope, supporting operations across 23 countries and 86 retail customers, including airport, border free zone, cruise, downtown, and local market doors.
